Follow-up that keeps up
Replies, reminders and review requests that happen even when you're flat out.
04 / 04
Sound familiar?
Leads and follow-ups stall when somebody has to remember every next step.
- Enquiries sit in an inbox until someone has a spare minute.
- Follow-up depends on you remembering, and you are flat out.
- You know you should ask for reviews and it keeps not happening.
- The CRM has leads in it that nobody has looked at in weeks.
Why this matters
Follow-up rarely fails because nobody cares. It fails because somebody has to remember.
And the moment it needs remembering is usually the moment you are flattest. Moving that job to a workflow does not make the follow-up less personal. It means the reply still goes out on the day you are on the tools.
What I actually do.
- 1Map how enquiries actually reach you now, including the parts that only live in your head.
- 2Build the follow-up: confirmations, reminders, review requests and the handover into your CRM.
- 3Connect it to the website, CRM and email you already use.
- 4Keep a person approving anything a customer will read.
- 5Watch it for the first few weeks and adjust it against what really happens.
- A follow-up workflow built around how your business actually follows up.
- Connections into the website, CRM and email you already have.
- Human approval kept wherever judgment matters.
- A plain explanation of what runs when, so it is never a black box.

An example of a follow-up workflow I'd build and run for your business.
An enquiry lands
The first reply goes out
Automatic, from your address, in your words.
A few days on
The nudge follows
No answer yet? A short follow-up goes out on its own.
Job done
The review request
A thank-you and a review ask, sent when the work wraps up.
You, throughout
You stay the gate
Anything needing judgment waits for your OK before it sends.
An illustrative workflow. Yours is custom-built around how your business follows up.
Answers before we talk.
Will this send things to my customers without me seeing them?
Not unless you decide it should. Anything a customer reads gets your written yes before it goes live. Automation handles the remembering, not the judgment.
Do I need a particular CRM?
No. I build around what you already use. If you do not have a CRM, we can start with something simple rather than buying a system you will not fill in.
What happens if something breaks?
I build these to fail visibly rather than quietly, and I am the one watching them. If a step stops working, it surfaces and gets fixed rather than swallowing enquiries.
Is this the same as buying an AI tool?
No. A tool is something you have to work out and run yourself. This is a workflow I build for how your business works, and keep running.
Can I see what it does?
Yes. You get a plain map of what happens after each trigger, so you can always answer the question "what does it do when someone enquires" without asking me.
What if I want to change something later?
That is normal and expected. The first few weeks usually shake out a couple of things that read differently in practice than they did on paper, and adjusting them is part of the job, not a new one.
Tell me what's going on.
Send your website and whatever's jumping out at you. You'll get a first read on what I'd fix, not a sales pitch.
